Social Media Management and Website Maintenance Services

Project Overview:

AdvantageHOPE is seeking proposals from qualified tourism industry marketing agencies to manage our social media accounts. The selected agency will be responsible for managing social media presence for Hope Cascades and Canyons, the Fraser Valley Canyon, AdvantageHOPE, and Rambo: First Blood Tourism, as well as maintaining the websites https://tourismhcc.ca/https://thefrasercanyon.ca/, https://hopebc.ca/.

Term: April 1st, 2024 – March 31st, 2025

Background:

AdvantageHOPE is a destination marketing organization promoting tourism in the Hope, Cascades & Canyons region of British Columbia, Canada. Our region is known for its natural beauty, outdoor recreation opportunities, and cultural heritage. The organization aims to attract visitors, promote local businesses, attract new businesses to the region, and enhance the overall tourism experience in the region.

Scope of Work:

 

Proposal Requirements:

Interested agencies are requested to submit a comprehensive proposal addressing the following:

  • Company background, including experience in providing social media management and website maintenance services for tourism-related clients.
  • Approach and methodology for social media management, including content strategy, audience engagement, and performance tracking.
  • Experience with managing similar social media accounts and achieving measurable results (e.g., increased followers, engagement, website traffic).
  • Relevant case studies or examples of past projects demonstrating successful social media management and website maintenance efforts.
  • Proposed timeline and schedule for ongoing management and maintenance activities.
  • Cost proposal, including monthly management fees and any additional expenses.
  • References from past clients in the tourism industry.

Submission Instructions:

Kindly ensure your proposal is submitted electronically to marketing@hopebc.ca by no later than 12pm on March 15, 2024. Please use “Proposal for Social Media Management Service” as the subject line.

Evaluation Criteria:

Proposals will be evaluated based on the following criteria:

  • Experience and expertise in social media management and website maintenance.
  • Quality and feasibility of proposed approach and methodology.
  • Demonstrated success in managing similar projects and achieving results.
  • Cost-effectiveness of proposed services.
  • References and client testimonials.

Chosen marketing agencies will receive invitations for a one-hour online meeting to showcase their proposals, followed by a final evaluation. The AdvantageHOPE board will approve the chosen agency on March 21, 2024, and we aim to contact the winning marketing agency by March 25, 2024. Please note that this date is subject to change in case the board meeting is postponed.

AdvantageHOPE reserves the right to reject any or all proposals received, or to negotiate separately with any source whatsoever in any manner necessary to serve the best interests of the organization. IMPORTANT: Our marketing budget is funded through the MRDT (Municipal and Regional District Tax) and is subject to fluctuation at any time. AdvantageHOPE retains the authority to decrease marketing expenditures, terminate projects, and cease campaigns as necessary. 

 

Additionally, please include your contract termination protocol in your proposal.
